Information We Receive
When you contact IBERIAHOLZ, we may receive your name, company, business email address, country, message, technical requirements and any drawings, specifications or other technical documentation that you choose to send by email or another agreed communication channel.
Purpose and Legal Basis
We use this information to review your enquiry, evaluate manufacturing feasibility, prepare quotations, communicate with you and manage a potential or existing business relationship. Where applicable, this processing is carried out in order to take steps at your request before entering into a contract and to manage subsequent business communications and records. We do not rely on marketing consent merely because you contact us with a business enquiry.
Technical Documentation
Drawings, specifications and other technical documentation are treated as business information supplied for the purpose of evaluating, quoting or executing your request. They may be stored in IBERIAHOLZ corporate email systems and related backups. Access is limited to personnel and service providers who need the information for the relevant business purpose.
Email Service Provider
IBERIAHOLZ uses Google Workspace for corporate email. Google processes business correspondence and attachments on our behalf under the applicable Google Workspace data-processing terms. Processing locations and transfer safeguards depend on the Workspace configuration and Google’s applicable contractual arrangements.
Website Hosting, CDN, Security and Access Logs
The website is delivered through Cloudflare Pages and Cloudflare’s network. Cloudflare may process limited technical request metadata needed to deliver, secure and operate the website, such as IP address, requested URL, timestamp, browser or user-agent information and security events. Traffic is handled through Cloudflare’s global network, while certain metadata may be processed in Cloudflare infrastructure in the United States and Europe under Cloudflare’s applicable data-processing terms.
Website Analytics and Cookies
The current website does not use analytics or advertising trackers and does not intentionally set cookies. If analytics, embedded services or other non-essential technologies are introduced, this policy and the Cookie Policy will be updated and any required consent mechanism will be implemented before those technologies are enabled.
Retention
Business correspondence and technical documentation sent by email are retained for the period required to review the enquiry and, where relevant, for the duration of subsequent quotation, contractual or commercial relations and related legal or business-record obligations. IBERIAHOLZ is establishing a fixed maximum retention period for sales-mailbox content, technical documentation, email backups and access logs. This section will be updated with those maximum periods once the operational retention rules are formally approved. Until then, information is not intended to be retained beyond the business and legal purposes described above.
Your Rights
Depending on applicable law, you may request access, correction or deletion of personal information, object to or restrict certain processing, or raise questions about how your information is handled.
Security
Reasonable technical and organizational measures are used to protect business contact information and technical documentation received from customers. No internet transmission or storage system can be guaranteed to be completely secure.
